Job Description/Responsibilities
Our client is seeking a highly organized and proactive Executive Assistant to support the Vice President of Product Development. This role involves managing administrative tasks, coordinating schedules, facilitating communication, and ensuring the efficient operation of the VP’s office. The ideal candidate is detail-oriented, adaptable, and thrives in a fast-paced, technology-driven environment. Key Responsibilities: Calendar Management: Schedule and manage the VP's calendar, including meetings, appointments, and travel arrangements, ensuring all commitments are well-organized. Communication Coordination: Act as a primary point of contact for internal and external communications. Draft, review, and distribute correspondence on behalf of the VP. Project Support: Track project timelines and deliverables, keeping the VP informed on milestones and deadlines. Meeting Organization: Prepare agendas, record meeting minutes, and follow up on action items. Organize meetings, conference calls, and events as needed. Records Management: Maintain organized records and handle confidential information with discretion. Research & Reporting: Conduct research on industry trends and prepare reports, summaries, and presentations. Office Coordination: Collaborate with other departments to ensure the VP’s office is equipped and operational. Manage office supplies and administrative budgets.
Job Requirements
Qualifications: Bachelor’s degree in Business Administration, Communications, or a related field (preferred). Experience: A minimum of three (3) years in an executive assistant or high-level administrative role, preferably in a technology or security-related industry. Skills & Competencies: Exceptional organizational and multitasking skills. Strong written and verbal communication abilities. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and virtual meeting tools (e.g., Zoom, Microsoft Teams). Ability to work independently, anticipate needs, and take initiative. High level of professionalism and discretion in handling sensitive information. Familiarity with security technology trends (a plus). Why Join the Team?
